General Provisions

Vanoia provides an equipped van for rental, intended for trips in Portugal and Spain. By booking and using the vehicle, the customer accepts these terms and the liability agreement, which must be signed when the van is handed over, together with a handover/return report. A booking is only valid after official confirmation from the Vanoia team, sent by email.

Prices

A service and cleaning fee of €35 per booking is added to the daily rate.

All prices shown include VAT at the legal rate in force. The minimum rental period is 2 days and the rental includes unlimited mileage.

Pickup and Return

Pickup and return location: Carregosa, Oliveira de Azeméis — Aveiro.

Pickup and return hours are between 8:00 and 18:00. The van is handed over with a full tank and must be returned in the same condition. Otherwise, a refuelling fee applies, as mentioned in the Penalties section.

The vehicle runs on diesel. Refuelling with the wrong fuel is the customer's responsibility.

Payments

The booking is only effective after receipt of the amount described above. In the event of non-payment within the deadlines set for the remaining 50%, the booking will be cancelled and the initial amount will not be refunded.

Cancellations

If Vanoia cancels, a full refund will be offered.

Failure to show up to pick up the vehicle on the scheduled date (no-show) does not entitle the customer to any refund.

Under Article 17 of Decree-Law No. 24/2014 of 14 February, the 14-day right of withdrawal does not apply to vehicle rental contracts with a specific date or performance period; this cancellation policy applies in its place.

Deposit and Liability

We require a deposit of €300 paid on the day the van is handed over, as well as the signing of the liability agreement and a handover/return report, with the commitment to take good care of the vehicle and to cover any fines, damage or losses caused.

The deposit is returned in full after the vehicle is returned, once it has been confirmed during inspection that it is in good condition and free of damage, fines or outstanding costs. If there is any charge, the corresponding amount will be deducted from the deposit.

Use of the Vehicle

The vehicle may only be used within Portuguese and Spanish territory. Use outside these countries is prohibited without prior authorisation by email from Vanoia. Driving must comply with all road-traffic rules and other applicable legislation. Smoking or vaping (including electronic cigarettes) inside the vehicle, carrying loads above the permitted limit, or using the vehicle for illegal, sporting or dangerous purposes is expressly prohibited.

Authorised drivers must be at least 21 years old and hold a driving licence valid for at least 3 years (category B). Drivers aged 18 to 20 may be authorised subject to an additional fee and acceptance of a €1000 deposit. Only the drivers named in the contract may drive the vehicle. Driving by unauthorised third parties invalidates insurance cover and makes the customer liable for all associated costs and damage.

The maximum capacity of the vehicle is 3 people, and all occupants must wear a seatbelt. Carrying more occupants than the approved number of seats is not permitted.

Subletting, lending or transferring the vehicle to third parties not named in the contract is prohibited.

Pets are allowed on board. The customer undertakes to keep the vehicle clean and in good condition; any damage or additional cleaning required as a result of transporting animals is the customer's responsibility.

Return

The van must be returned on the date and time previously agreed and at the stipulated location, with the same fuel level as when it was handed over and in good condition. You must also return the van with the toilet reservoir and waste-water tank empty.

On return, an inspection will be carried out to check for any damage or losses. If anomalies not initially recorded are detected, the corresponding costs will be charged to the customer.

Early return does not entitle the customer to a refund for unused days, except by written agreement. If the return takes place after the scheduled time, a penalty of €50 per hour of delay applies, up to a maximum of €200 per day.

Penalties and Additional Costs

During the rental period, the customer is responsible for all expenses associated with use of the vehicle, including:

Discounts and promotions are not cumulative, unless expressly stated at the time of booking.

Insurance and Accidents

The rental includes third-party liability insurance with cover up to €7,750,000.00. Any accident must be reported to Vanoia and to the relevant authorities within a maximum of 24 hours. In the event of theft or robbery, the customer must notify the authorities and Vanoia within 12 hours.

The customer is liable for all damage caused to the vehicle, to third parties or to themselves, except in cases of force majeure. In cases of gross negligence or wilful misconduct, such as driving under the influence of prohibited substances or improper use of the vehicle, the customer will fully bear the cost of the damage, even if it exceeds the excess amount.

Vanoia is not responsible for any objects or personal belongings left, lost or forgotten inside the vehicle.

We strongly recommend that the customer take out personal travel insurance covering situations not included in the vehicle insurance, such as personal accidents, medical expenses, repatriation or cancellations for personal reasons. Vanoia is not responsible for expenses arising from personal situations not covered by the vehicle's insurance.

Breakdowns and Roadside Assistance

In the event of a breakdown or immobilisation of the vehicle, the customer must contact Vanoia immediately. Vanoia will take care of the necessary steps — including activating the insurance and roadside assistance and, where justified, arranging alternative transport (for example, a taxi) — with each situation assessed on a case-by-case basis.

The customer must not have the vehicle repaired or hire any services on their own initiative without prior authorisation from Vanoia. Breakdowns resulting from normal use of the vehicle are Vanoia's responsibility; those resulting from improper use, negligence or breach of these terms are excluded, and their costs will be charged to the customer.

Personal Data

The personal data provided by the customer will be treated confidentially and used only to manage the rental, for commercial communication (where authorised) and to comply with legal obligations. The customer may, at any time, request the deletion of their information for marketing purposes. See our Privacy Policy for more details.

Termination of the Contract

Vanoia reserves the right to terminate the contract and recover the vehicle at any time, should the customer fail to meet their obligations.

Dispute Resolution

Vanoia and the customer undertake to resolve any conflict amicably.

In the event of a consumer dispute, the consumer may turn to an Alternative Dispute Resolution (ADR) entity. The list of competent entities can be consulted on the Consumer Portal at consumidor.gov.pt. The consumer also has access to the electronic Complaints Book at livroreclamacoes.pt and, for online disputes, to the European Union Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

These terms are governed by Portuguese law. In the absence of alternative resolution, the competent jurisdiction is that of the District of Oliveira de Azeméis, unless otherwise provided by law.

Updates to the Terms & Conditions

These terms and conditions may be amended from time to time to reflect changes in legislation or in Vanoia's business. Updates will be published on our website and, if necessary, we will notify customers by email.
